Facilitation of strategic sessions

We conduct meetings for boards and consortiums where decision-making under conflicting interests is key. We focus on neutrality and working out real steps. Our mediator ensures that each of the 3+ parties is heard without escalating emotions. We finish the session with a signed protocol of findings, not just a list of ideas.

Decisions based on facts, not emotions

At Chodkiewicz & Partners, we know that in large projects, the interests of the parties are rarely identical. Since 2016, we have moderated meetings where the fate of contracts worth from 340 thousand to 8 million PLN is at stake. Our role is to guard the structure of the conversation so that each of the three or four parties can present their arguments without interruption. We don't promise miracles, but we ensure that facts win over emotions during every hour of the meeting. We look for touchpoints where others see only a wall of misunderstanding.

A standard strategic session conducted by us usually lasts from 5 to 7 hours. This is enough time to go through the most difficult dispute points without excessive fatigue of the participants. (Honestly, after the fourth hour without a break, no one makes wise decisions anymore, which is why we strictly stick to the schedule). In 2024, we conducted 38 such sessions, 31 of which ended with the signing of a binding protocol of findings on the same day.

Concrete results instead of general plans

Our working method is based on 8 years of experience in business mediation. We do not deal with team motivation, but with the facilitation of difficult decision-making processes. During the session, we use process boards and interest mapping, which allows visualizing conflicts. Thanks to this, participants see the problem on paper, and not in the person sitting opposite. This changes the dynamics of the conversation and allows focusing on the architecture of compromise.

  • We prepare the meeting agenda based on 3 earlier interviews with the leaders of each party.
  • We maintain neutrality — a mediator from Chodkiewicz & Partners does not take anyone's side.
  • We create documentation in real-time, which participants accept point by point.
  • We verify the feasibility of findings in terms of deadlines and available financial resources.

We close every meeting with a list of 4-6 specific actions that have an assigned executor and a completion date. We don't leave clients with general slogans. If the session concerns a dispute in a construction consortium, the result is a clear division of risks and additional costs. This document then serves as the basis for annexing contracts or changing the work schedule. We believe that only a written and signed agreement allows the project to move forward without looking back.
